How much cooling does an office need?

A standard UK office needs roughly 100 W of cooling per m² of floor area as a starting point — more where there's a lot of south-facing glazing, dense desking or heat-shedding IT. That's why a proper quote follows a heat-load calculation rather than a floor plan alone. As a cross-check, allow around 100–150 W of cooling per desk-based occupant for body heat, computers and lighting, then add the gains from glazing, meeting rooms and any server or comms cabinets on top. Wall units, cassettes or VRF?

The right system depends on layout, ceiling type and how many zones you want to control independently.

  • Small or cellular offices — wall-mounted splits or a compact multi-split are cost-effective; one outdoor unit can serve several rooms, each with its own control.
  • Open-plan floors — recessed ceiling cassettes give even, draught-free distribution and keep walls clear; a multi-split system suits three or four indoor units.
  • Larger or multi-zone premisesVRF/VRV systems run many indoor units off one refrigerant circuit with individual zone control, modulate their compressors to run efficiently at part load, and in heat-recovery form can cool one side of the building while heating another. As a rough guide, a multi-split is usually the most economical choice up to around six to eight indoor units, with VRF taking over above that or across multiple floors.

Air-to-air office systems heat as well as cool (SCOP typically 3.5–4+), so the same units keep staff comfortable in winter — though, being air-to-air, they are not eligible for the Boiler Upgrade Scheme, which supports air-to-water heat pumps only.

TM44 and F-Gas: the legal duties for offices

If the air conditioning in your building has a combined rated cooling output over 12 kW — which many multi-cassette offices exceed — a TM44 inspection by an accredited assessor is legally required at least every five years, with the report lodged on the national register. The duty falls on whoever controls the plant (landlord or tenant), and non-compliance can bring enforcement action and fines from the local authority. Separately, only F-Gas certified engineers may legally install or work on refrigerant systems, and refrigerant must never be vented to the atmosphere.
