How Air Con Surrey collects, uses and shares your personal data, and the rights you have under UK data protection law. Last updated: August 2026.
1. Who we are
Air Con Surrey ("we", "us") operates AirConSurrey.co.uk, a free matching service that connects people looking for air conditioning work with vetted, F-Gas certified engineers. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, Air Con Surrey is the data controller for the personal data described in this policy.

2. The data we collect
We collect:
- Enquiry details — your answers on our quote form, such as the type of work you need, property details and your preferred timing.
- Contact details — your name, email address, telephone number and postcode, so engineers can quote for your job.
- Usage data — analytics about how the site is used (pages viewed, approximate location, device type), collected only if you consent to analytics cookies. See our Cookie Policy.
- Correspondence — emails you send us, including complaints.
We do not ask for, and you should not send us, payment card details or other financial information.
3. Why we use your data (lawful bases)
- Performance of a contract / steps at your request: matching your enquiry with engineers and passing your details to them so they can quote — this is the service you asked us to provide.
- Consent: analytics cookies, and any marketing communications (see section 5). You can withdraw consent at any time.
- Legitimate interests: running and securing the website, preventing fraud and abuse, handling complaints, improving the service, and keeping limited records to demonstrate compliance.
- Legal obligation: where we must retain or disclose information to comply with the law.
4. Who we share your data with
This is the most important part of this policy. When you submit an enquiry, we share your enquiry details and contact details with:
- Partner networks that manage panels of trades and pass enquiries to suitable engineers. Our partner networks include Bark.com.
- The air conditioning engineers we match you with, so they can contact you and quote for your job.
Those engineers and networks become responsible for your data under their own privacy policies once they receive it, and you can ask them to stop contacting you at any time. We only share what is needed to provide quotes — we do not sell your data to unrelated third parties, and we do not share it with anyone for purposes unconnected with your enquiry.
We also use trusted service providers (such as website hosting and email providers) who process data on our instructions, and we may disclose data where the law requires it.
5. Marketing
We only send marketing emails if you have actively opted in — the marketing checkbox on our forms is never pre-ticked. If you opt in, we record the date, the form and the consent version (current version: ACS-2026-08) so we can evidence your choice. Every marketing email includes an unsubscribe link, and you can also opt out at any time by emailing info@airconsurrey.co.uk. Opting out of marketing does not affect quote-related messages about an enquiry you have made.
6. How long we keep your data
We keep enquiry and contact details for up to 24 months from your last interaction with us, so we can deal with follow-up questions, complaints and our legal obligations, after which they are deleted or anonymised. Consent records are kept for as long as the consent is relied on plus a period to evidence compliance. Correspondence about complaints is kept for up to 6 years. Analytics data is retained according to the settings described in our Cookie Policy.
7. Your rights
Under UK GDPR you have the right to:
- access a copy of the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased in certain circumstances;
- restrict or object to processing, including objecting to processing based on legitimate interests;
- data portability for data you provided to us;
- withdraw consent at any time, where consent is the basis for processing.
To exercise any of these rights, email info@airconsurrey.co.uk. We may need to verify your identity, and we will respond within one calendar month.

9. Complaints to the ICO
If you are unhappy with how we have handled your personal data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or by post to Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
10. Changes to this policy
We may update this policy from time to time. Material changes will be flagged on this page with a new "last updated" date, and where the change affects how we rely on your consent we will ask for it again.
